Communicating information securely—and quickly

RetraceHealth’s mission is to make primary care “ridiculously easy”—a goal that emerged from healthcare experiences that were anything but.

“Getting care shouldn’t have to be so expensive or so much work,” says Kendra Perez, RetraceHealth’s operations manager.

RetraceHealth fosters better connections between providers and patients by working with nurse practitioners, who are often able to provide more personalized care more cheaply. Their services include same-day video appointments and even in-home visits—which means their providers are very mobile.

But streamlining broken communications between providers and patients meant creating new collaboration streams, which ran the risk of complicating rather than simplifying things.

What’s more, they had the Health Insurance Portability and Accountability Act to consider.

“HIPAA compliance is a lot of ‘pro- cess,’ but it doesn’t mean that it makes information more secure,” Perez says. “We care deeply about our patients and their privacy. We’re interested in actu- ally building secure systems, not just checking the box for compliance.”

The part of the workflow that gave Perez the most trouble, she says, was finding a way for patients to send documents securely.

“We wanted a method that would be easier and more secure than sending in email,” Perez says. “Dropbox didn’t offer that ability, and we found patients don’t really want to create another password and username in order to do do things. Our challenge was, How can we make is as easy as possible, but still totally secure?”

The Solution

Leveraging Sookasa to lock up Dropbox

RetraceHealth discovered and deployed Sookasa in September to make Dropbox HIPAA-compliant and secure.

“The combination allows us to share sensitive documents in a secure way, which is such an integral part of how we’re able to work with our mobile nurse practitioners and actually make primary care easier,” Perez says.

But there was still the question of how to securely receive information from patients who don’t have Sooka- sa or Dropbox. At first, Perez hacked together a solution: Using a Dropbox app integration, she’d send patients a survey form, which would then be uploaded into Sookasa.

“It was not as sophisticated or secure as I wanted—I had to transfer docu- ments to the respective nurse practi- tioner,” Perez says. “I wanted as few touchpoints as possible, and I wanted things to be encrypted before they were synced to the cloud.”

Then Sookasa debuted the secure receipt component of its File Delivery platform, which assigned unique upload links for each of RetraceHealth’s nurse practitioners.

“File Delivery came out at almost the perfect time,” Perez says. “It was exactly what I was looking for—it was almost as though I’d dreamt it up.”

RetraceHealth embedded the links for each practitioner in its easy-to-use scheduling webpage, which is dubbed “the coolest patient portal ever.”

Now, patients securely send forms directly to their care provider from the same place they schedule and start visits. Because the files land in Sookasa, Perez says it’s even easier for the RetraceHealth team to upload information into its EMR.


The Results

Peace of mind—and better patient care

“Our care is so mobile—providers are doing RetraceHealth video appointments and coordinating home visits from all over,” Perez says. “It wouldn’t be possible without a way to collaborate seamlessly and securely. That’s exactly what we got with Sookasa.”

Now, RetraceHealth is able to painlessly coordinate care and streamline communications between patients, providers, and the corporate office.

It’s saved critical time by eliminating the need to manually upload or move things around. And for Perez personally, it’s also been a huge relief.

“Giving documents directly to whoever needs them is essential for the privacy we assure patients,” Perez says.

In recent months, RetraceHealth has grown rapidly by maintaining its laser-focus on providing better care—making it even more essential to leverage technology to support its goals.

“Patients just want to get taken care of,” Perez says. “At the end of the day, that’s all that matters.”
